Job Description

Job Title: Executive Assistant to CEO

Job Summary:

The Executive Assistant to the CEO is responsible for overseeing the operational, financial, and administrative aspects of the CEO’s residential and commercial properties. This role ensures all properties are maintained to the highest standard, projects are delivered on time and within budget, and all services are aligned with the preferences and schedule of the CEO.

Key Responsibilities:

  1. Property Oversight & Maintenance
  • Manage day-to-day operations of the CEO’s residential estates, vacation homes, and investment properties.
  • Coordinate maintenance, repairs, landscaping, and upgrades with vendors and contractors.
  • Conduct regular inspections to ensure all properties are in excellent condition.
  1. Vendor & Contractor Management
  • Source, vet, and supervise service providers including cleaners, landscapers, security, and maintenance teams.
  • Negotiate contracts, monitor performance, and ensure quality and cost-effectiveness.
  1. Financial Management
  • Prepare and manage property budgets, track expenses, and ensure timely bill payments.
  • Provide monthly financial reports and projections to the CEO or their executive assistant.
  1. Project Management
  • Oversee renovation and remodeling projects, ensuring timely execution and budget compliance.
  • Collaborate with designers, architects, and construction teams as needed.
  1. Administrative & Legal
  • Ensure all properties comply with local codes, laws, and regulations.
  • Maintain insurance policies, lease agreements, property documents, and inventory logs.
  1. Personal Support to the CEO
  • Act as the primary point of contact for all property-related matters.
  • Provide white-glove service to support the CEO’s lifestyle and privacy requirements.
  • Coordinate travel arrangements and property availability for the CEO and family.

Qualifications:

  • Bachelor’s degree in Property Management, Real Estate, Business Administration, or a related field (preferred).
  • Minimum 1-5 years of experience managing luxury residential and/or commercial properties.
  • Proven experience supporting high-net-worth individuals or executives.
  • Strong organizational, project management, and negotiation skills.
  • Discreet, trustworthy, and professional with excellent communication.
  • Tech-savvy, with experience using property management software and digital tools.
  • Ability to respond to emergencies outside normal business hours.
